The City Clerk is a Charter officer appointed by and reporting to the City Council. Under Miami Springs City Charter Section 8.02 (1), the City Clerks office is responsible for conducting all city elections. Per City Charter, the office of the City Clerk is responsible for officially maintaining all records of the City including ordinances, resolutions, proclamations, contracts, historical documents. The City Clerk is the Records Management Liaison Officer (RMLO) of the City.

Document Imaging

With the implementation of the OptiView software, the City Clerks office is able to electronically store documents to save space, with a view toward eliminating an off site storage facility and facilitating research to comply with requests for information from both the general public and City Staff.

Code of Ordinances...

The City Clerk ensures that all City Council approved changes to the Code of Ordinances are quickly codified by Municipal Code Corporation so that the most current information is available to the residents.

Meeting Minutes

The City Clerks office attends, records, and transcribes minutes of all City Council meetings in a timely fashion, and prepares a summary of actions taken by the Council for proper follow-up from all City departments.

Other Documents

Along with the Mayor and/or City Manager, the City Clerk attests to official documents. Also, the Clerk records documents with the County Clerk, as appropriate. The City Clerks office makes sure that all public notices are advertised on time, as required by law. The City Clerks office is responsible for coordinating secretarial assistance and transcription of minutes for all City Council advisory boards
